Job Title: Executive Ministry Assistant
Reports to: Senior Pastor and Executive Pastor
Classification: Part-Time

Position Summary

The Executive Ministry Assistant provides high-level administrative and ministry support to both the Senior Pastor and Executive Pastor of a large, conservative, and growing Southern Baptist Church. This individual plays a vital role in ensuring the pastoral office operates with excellence, efficiency, and discretion, allowing church leadership to focus on shepherding, preaching, vision-casting, and ministry oversight.


Core Responsibilities

Administrative Support
• Manage calendars, appointments, and meetings for both pastors
• Handle phone, email, and in-person correspondence with grace and professionalism
• Prepare meeting agendas, take notes, and track follow-up actions
• Maintain organized filing systems—both digital and physical

Ministry & Operational Support
• Coordinate logistics for pastoral engagements, ministry events, and strategic initiatives
• Serve as a key liaison between the pastors and church staff, members, ministry leaders and the community
• Support administrative and operational processes to help execute the church’s vision

Communication & Confidentiality
• Draft and edit communications, reports, and presentations as needed
• Communicate effectively on behalf of the pastors, while preserving confidentiality and clarity
• Handle sensitive information and pastoral matters with integrity and discretion

Project Management
• Assist in coordinating and tracking major church projects, staff priorities, and ministry timelines
• Ensure the pastors have what they need for meetings, services, and public appearances

Qualifications
• A mature and growing relationship with Jesus Christ
• Fully aligned with the beliefs and practices of the Southern Baptist Convention (BFM 2000)
• 3–5 years of experience in a senior-level administrative or ministry support role
• Strong organizational, time management, and problem-solving skills
• Professional, courteous, and trustworthy in high-responsibility situations
• Skilled in Microsoft Office 365, Google Workspace, and familiar with church management systems (e.g., ACS, Planning Center, Realm)
• Bachelor’s degree preferred; equivalent experience in a ministry or executive support role will be considered.
